JOB DESCRIPTION

The PMO Assistant plays a critical role in supporting the Project Management Office (PMO) to ensure smooth operations, proper documentation, and timely coordination across projects.
This position assists in drafting and managing official PMO documents, coordinating meetings, supporting compliance with internal processes, and providing administrative and operational assistance to the Head of Project Management (HoPM) and project managers.

Key Responsibilities

  • Documentation Management:
    Draft, modify, store, and manage PMO-related documents including instructions, procedures, and correspondence.

  • Official Correspondence:
    Compose and distribute departmental emails to announce new or revised PMO documents.

  • Compliance Support:
    Participate in checking project documentation, records, and meeting minutes under HoPM direction.
    Report verification results and issue reminders for incomplete or missing documents.

  • Meeting Coordination:
    Arrange meeting rooms, prepare schedules, and remind PMO members ahead of meetings.

  • Administrative Support:
    Perform other assigned support tasks for the Project Management Department.

  • Confidentiality & Data Protection:
    Uphold strict confidentiality regarding clients, freelancers, and project information.

JOB REQUIREMENTS

Must have:

  • At least 2 years' experience in PMO support, or administrative operations in an IT or technology company.

  • Strong documentation, formatting and version control capability.

  • Excellent time management skills.

  • Effective communication and reporting ability.

  • High attention to detail and consistency.

  • Proactive coordination across internal teams.

  • Good at English communication (Minimum TOEIC 650 or equivalent)

  • Proficient in MS Office and tracking tools (e.g., ClickUp, Trello).

Nice to have:

  • Experience working with ISO 27001 (Information Security Management) and/or ISO 9001 (Quality Management) standards.

  • Exposure to quality or compliance audits within a project or PMO environment.

  • Experience using AI at work.

  • Familiarity with labor law regulations and freelancer management practices.
